How destination wedding planning works

A destination wedding is really two projects: the event itself, and the journey that brings everyone to it. Orbitz Holidays plans the second. That means shortlisting destinations that suit the guest list and the season, working out how guests will travel and where they will stay, and coordinating the movement between airport, hotel and venue across the wedding days.

The first conversation covers the shape of the celebration: the approximate number of guests, where most of them live, the months being considered, and whether the couple already has a venue or a destination in mind. From that, a shortlist is prepared with a plain note on what each option means for guest travel time, accommodation availability and weather.

Once a destination is chosen, the travel plan is drafted around the wedding schedule. Guest arrivals, room allocations, transfers for each function and departures are laid out day by day so that the family can see the whole picture before anything is confirmed.

Guest journeys and accommodation

Guests travelling from different cities are grouped by origin, and arrival arrangements are planned for each group. Where a room block is appropriate, the categories and the number of rooms are agreed with the property and held under the terms it offers, which are stated in the proposal.

Families often want a short pre- or post-wedding stay for close relatives. These extensions are planned alongside the main block so that room moves and transfers line up.

What is confirmed before booking

The proposal records the guest count it was built for, the room categories held, the transfer plan for each function, and any local movement or excursions included. It also states the supplier terms for release dates, reductions and cancellations, so the family knows exactly when decisions need to be made.

Venue hire, décor, catering and event production are outside the travel plan unless the confirmed proposal specifically includes them. Where the family is working with a wedding planner, Orbitz Holidays coordinates the travel schedule with that planner so the two sides stay aligned.
